General Accountability
Provides support for the provision of effective and efficient office services, coordinating and/or performing general administrative and clerical functions for Greenwood Shop and Carhouses of the Rail Cars & Shops Department.
Key Job Functions
Prepare and process payroll duties in an accurate and timely manner
Provide administrative support and general office services
Schedule and coordinate training requirements for all employees within Greenwood Shop
Prepare documentation and schedules related to training, employee transfer notices, new employee documentation and employee performance appraisals
Order general office supplies and handling of lunch room monies
Responsible for employee key distribution records
Prepare monthly minutes for various meetings as well perform reconciliation reports for payroll and purchases
Issue various reports and schedules related to overtime, attendance, vacation and occupational injuries
Required to review, distribute, administer and file confidential documents related to employees
Required to assist other support staff in the Shop as required and substitute in these jobs during periods of absence

Education and Experience
Completion of secondary school education, and post secondary education is an asset, in a relevant discipline or a combination of education, training and experience deemed to be equivalent, combined with related work experience.
Additional Requirements
Good knowledge of modern office practices and procedures
Must be able to operate a personal computer and be proficient in software applications relevant to the work (e.g. Word, Excel, and Access); familiarity with databases and their applications would be a definite asset
Possess excellent typing and keyboarding skills combined with knowledge of grammar, punctuation and spelling
Detail oriented with excellent organizational ability to meet work deadlines, and must possess good verbal and written communication skills in order to provide and obtain pertinent information
Knowledge of Shop terminology and procedures would be beneficial
Possess good time management skills and ability to handle several tasks at one time
Must have or acquire a good knowledge of TTC and departmental policies, procedures and practices relating to the work
Must have or acquire a good familiarity with the Collective Agreement provisions pertaining to vacation entitlement, overtime, etc.
Must have or be able to acquire knowledge of the On-Line Attendance Reporting System (OARS) as relating to assignments
